Modify Permissions for DM Items (Repos, Folders and Files)
Modify permissions allow users to perform operations such as adding, editing, moving, copying, and deleting documents and folders.
Permission Types and Functions
Add Permission
This permission allows users to add new content.
Action | Description |
---|---|
Add Folder | Grants permission to add a new folder. |
Add Document | Grants permission to add a new document to a folder. |
Add Content | Grants permission to add a content file to a document. |
Add Related Document | Allows users to establish relationships between documents. |
Add Digital Signature | Grants permission to sign a document. |
Add Timestamp | Grants permission to add a timestamp during the signing process. |
Edit Permission
This permission allows users to modify existing content.
Action | Description |
---|---|
Rename | Grants permission to change the names of repositories, documents, and folders. The Rename option appears in the right-click menu and the top menu. |
Update Description | Allows updating the name and description of documents or folders. |
Edit Content | Grants permission to modify content files within a document. Users can edit content when a draft version is initiated. |
Create Version | Allows the Start Work button to be visible for authorized users to create a draft version of the document. |
Modify Properties | Enables the Properties option for repositories, folders, and documents. |
Manage Permissions | Allows users to access the Security menu from the right-click or top menu to grant permissions to other users. |
Edit Profile | Grants permission to edit profile forms (metadata) for repositories and folders. Users can access this feature in the Metadata section under Properties. |
Process Permission
This permission allows users to perform operations such as moving, copying, and sharing.
Action | Description |
---|---|
Move | Grants permission to move files or folders to another directory. The Move option appears in the right-click menu and the top menu. |
Copy | Grants permission to create a copy of selected files or folders. The Copy option appears in the right-click menu and the top menu. |
Create Shortcut | Allows users to create shortcuts for files and folders. |
Refresh Index | Triggers OCR processing for reading document content within repositories and folders. The Refresh Index option appears in the right-click menu and the top menu. |
Share Link | Grants permission to create shareable links for documents. The Share option appears in the right-click menu and the top menu. |
Send by Email | Works in conjunction with the Share Link permission, allowing users to send documents via email during sharing. |
Delete Permission
This permission allows users to permanently delete specific items.
Action | Description |

Delete Folder | Grants permission to delete repositories and folders within a directory. The Delete option appears in the right-click menu and the top menu. |
Delete Document | Grants permission to delete documents, including their content, versions, and related documents. |
Delete Shortcut | Allows users to delete shortcuts for repositories, folders, and files. |
Authorization and Usage Conditions
- Authorization: Users can only perform actions on folders and documents they are authorized to manage.
- Edit Permissions: Users must have edit rights to rename, update descriptions, and modify content.
- Process Permissions: Move, Copy, and Share Link require specific user permissions.
- Delete Permissions: Deleted content cannot be recovered, so permissions should be granted carefully by system administrators.
Additional Notes
- Users can only perform actions on authorized content. If they do not have permission, they will not see or interact with the content.
- Version creation does not overwrite existing documents; previous versions are stored for reference.
- Deleting a document or folder is irreversible and follows system-defined policies.
