Set MetaData

Metadata (Profile) is a form that provides additional information about a file or folder, making it easier to organize and manage. In the Synergy platform, metadata forms can be used for repositories, folders, and files. These forms help in organizing documents more efficiently and speed up search results.

The definition process can be carried out from the Metadata tab in the Properties window for the repository or folder.

In the Metadata tab, the following information is displayed in the table:

Column NameDescription
TitleShows the name of each field defined in the metadata form. The field titles indicate what information should be entered by the user.
Field NameThe name that allows programmatic access to the data specified in the form. It is not visible to the user and is used for data processing in the system.
RequiredIndicates whether the metadata form is mandatory. If marked "Yes", the form cannot be left blank. If marked "No", the form is optional.
TypeIndicates which type of item the metadata form applies to. The options can be: \
  • Folder: Applies to folders.\
  • File: Applies to files.\
  • Both: Applies to both files and folders. |

Click the Add button to add a new metadata field.

The following fields will appear in the dialog box:

  • Project: Select the project where the metadata form belongs.
  • Form: Select the form with the type Metadata in the selected project.
  • Fields: Select the fields from the chosen form where data will be entered during the folder/file creation. Multiple selections can be made.
  • Type: Choose the type of item the metadata form will be used for: file, folder, or both.
  • Required: Choose whether the metadata form is mandatory. If marked "Yes", the form cannot be left empty. If marked "No", the form is optional.

After making the required selections, click the Save button to complete the definition process.

Additional Information: For folders outside the repository, the Metadata tab includes the "Inherit from Parent" option, which is selected by default and indicates that the metadata settings will be inherited from the parent directory. To define/edit metadata for a folder specifically, uncheck this option and proceed with adding and editing metadata.
